PAYOUTS AND TAX FORMS

Tournament payout software that carries every win to signature.

Payouts covers jackpot wins and tournament prizes. Staff identify the player, record the win and route it for approval. Taxes are calculated. The player signs digitally. W-2G forms are generated for qualifying payouts.

Tournament payout processing: each place with the player, payout type, tax form, TIN check, signature, associates and amounts, with Calculate Taxes and Submit to Cage

The problem.

A big win means the player waits while staff check ID, work out taxes, find an approver and fill in forms. On paper, a step gets skipped and nobody sees it until later.

How it works.

  1. 1

    Record the win.

The payout manager creates the record, identifies the player and enters the win. Jackpot wins come in from Promotions & Jackpots. Tournament prizes are finalized from the payout slips.

  2. 2

    Calculate the taxes.

Federal and state taxes are calculated from the payout amount and the IRS thresholds. The player's identity and tax details come from their membership record.

  3. 3

    Route it for approval.

The payout moves from Pending to Approved to Completed. Each approver signs off before it goes forward, and every step records who and when.

  4. 4

    Pay and document.

The player signs digitally and the cage pays out. A qualifying payout gets its W-2G. The signature and the player's ID photo stay with the record.

What you get.

Tax forms

W-2G forms are generated for qualifying payouts. W-9 and W-8BEN forms are managed for player tax identification.

TIN verification

Check a player's Tax Identification Number against IRS records before the payout goes through.

Split payouts

Track every associate on a split jackpot win, all on one payout record.

Templates and recent wins

Reusable templates cover common payout structures, like tournament payouts and jackpot tiers. The Recent Wins dashboard shows each recent win and its status.

Included in the Professional plan.

What’s different.

  • Every payout keeps a full record: who recorded it, who approved it, when it was paid and which forms were generated.
  • It reads the same player database as the floor, the cage and tournaments. Identity and tax details are already there.
  • Approvals follow roles. A payout cannot move forward until each approver signs off.

QUESTIONS

About Payouts & Tax Documentation.

Which tax forms does it produce?

W-2G forms for qualifying payouts. It also manages W-9 and W-8BEN forms for player tax identification, and verifies TINs against IRS records.

Does it cover tournament prizes as well as jackpots?

Yes. Jackpot wins flow in from Promotions & Jackpots. Tournament prizes are finalized from the Payout Slip Report, and payouts above IRS thresholds trigger a W-2G.

How does approval work?

Each payout moves through Pending, Approved and Completed, or is cancelled. Sign-off is role-based, and each approver signs before the payout goes on.

What is kept with each payout?

The player's digital signature, their ID photo, the approvals and the forms generated. All of it stays on the payout record.

Which plan includes it?

Payouts & Tax Documentation comes with the Professional plan.
